Who we are
This site is run by OIAS ("OIAS", "we", "us"), a sole proprietorship based in Karnataka, India. We are the data fiduciary for the personal data described here. For any privacy question or request, write to business@oias.in.
What we collect, and why
We only collect what you send us, plus the minimum needed to run the site.
- 01Contact form. Name, email, company (optional) and your message, so we can reply.
- 02Booking a call. Name, email, phone (optional), organisation, your chosen slot and what you want to discuss, so we can hold the meeting and send the invite.
- 03Job and internship applications. Name, email, phone, the role, your answers, and the resume or work samples you upload, so we can assess your application.
- 04Business outreach. For organisations we may contact about our services: a work email, name, role and company from public business sources. Every outreach email includes a one-click opt-out; once you opt out we never contact you again.
- 05Visit source. If you arrive from a link with campaign tags (for example
utm_source), the site remembers those tags, the page you landed on and the referring site for the length of your visit, and attaches them to any form you send. Nothing is stored after you close the tab.
We do not run advertising trackers, analytics cookies or session-recording tools. We do not sell personal data or build advertising profiles.
Cookies and browser storage
The public site sets no cookies. It uses your browser's session storage only for the visit-source tags above, and it clears when the tab closes. The private admin area uses a login session that only our team ever has.
How we use AI
We use AI models to help write outreach and follow-up emails and to summarise enquiries. When we do, the relevant business details (name, company, role, the message) are sent to the AI provider to produce text. Providers process this data on our instructions and do not use it to train their models under the terms we use. A person at OIAS stays responsible for every message we send.
Who processes it for us
We use a small set of service providers to run the above, only for these purposes and never for their own marketing:
- —Vercel — hosts this website, its forms and uploaded application files.
- —Zoho CRM — stores enquiries, bookings, applications and outreach contacts.
- —Google Workspace — our email and calendar.
- —Resend — sends confirmation emails and calendar invites.
- —Anthropic — AI model used to draft emails, as described above.
- —WhatsApp (Meta) — only if you choose to message us there.
Some of these providers store data outside India. We only use providers with contractual data-protection commitments, and we follow any restrictions the Government of India notifies under the DPDP Act. We disclose data to authorities only when the law requires it.
How long we keep it
- —Enquiries and bookings: while we are talking or working together, and up to 24 months after the last contact, then deleted.
- —Applications and resumes: up to 12 months after the role closes, so we can consider you for similar roles, then deleted.
- —Outreach contacts: until you opt out or 24 months pass. After an opt-out we keep only your email address on a do-not-contact list, so we never write to you again.
- —Client project records: as long as tax and accounting law requires (generally 8 years in India).
You can ask us to delete your data sooner at any time.
Your rights
Under India's Digital Personal Data Protection Act, 2023 (and the GDPR or similar laws where they apply to you), you can ask us to: tell you what data we hold about you; correct or update it; delete it; withdraw consent you gave; and name someone to act for you if you cannot. Email business@oias.in from the address we have on file. We reply within 30 days. Withdrawing consent does not affect anything done before you withdrew it.
Children
This site is for businesses and adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us their details, write to us and we will delete them.
Security
The site is served only over HTTPS. Admin areas need a password and are hidden from search engines, uploaded files get unguessable links, and access to our tools is limited to the people who need it. No system is perfectly secure; if a breach affects your data, we will tell you and the Data Protection Board of India as the law requires.
Grievance Officer
For any complaint about how we handle your personal data, write to the Grievance Officer, OIAS at business@oias.in. We acknowledge complaints within 24 hours and aim to resolve them within 15 days. If you are not satisfied, you may complain to the Data Protection Board of India.
Changes
If this policy changes we will update the date at the top of this page, and material changes will appear here before they take effect.
